Waarborg geeft je tips voor effectieve vergaderingen en efficiënte overleggen.
Choose a pleasant space
Perhaps an open door, but to be able to meet effectively it is important that you and your colleagues are in a pleasant, light environment with sufficient oxygen. Dark, stuffy spaces are disastrous for concentration and therefore for the effectiveness of your meeting.
Do you always meet in the same room? That doesn't promote creativity. Try meeting in a different location than you're usually used to. Are you and your meeting companions stuck at a certain point in the meeting? Then switch places at the table. This way, your brain is challenged to literally look at the situation from a different angle.
I'll start working when my coffee does
The first working day after your vacation may be an unacceptably heavy day – and then your agenda is also full of meetings and consultations. A few cups of coffee can bring some relief in such a situation. So don't forget to provide the participants of your meeting with a cup of black gold. It keeps them awake and provides energy in those lazy vacation bodies.
Be careful that you and your colleagues do not drink too much coffee. Too much caffeine can cause a so-called coffee rush. You may have experienced it; you can no longer concentrate, are hyperactive, nervous, get a palpitation, start shaking and feel hot. All symptoms that indicate that you have been a bit too generous with the coffee. Where a little coffee is good for concentration, too much can result in irritated, nervous colleagues who can no longer make clear decisions. Preferably not! Instead, put a jug of chilled water on the table, so that your colleagues can continuously refill themselves.
Hangriness
Do you have a long day full of meetings? Then there is a risk that you forget to eat and your blood sugar level reaches a low point without you noticing. Everyone knows that hangry situation: you become irritable because you are hungry and you get annoyed by your colleagues just a little faster than usual. Not handy if you want to discuss constructively with each other. Therefore, not only arrange a healthy lunch for the participants, but also make sure that there is something to snack on the table. This way you prevent that hungry feeling - and with it snapping back and forth. Note: preferably choose healthy things and preferably not too much sweet (because: sugar dip). Serve your colleagues (unsalted) nuts, dark chocolate or a banana. Snack tomatoes, cucumbers and peppers also generally do well. Do you really want to do it right? This brain food will put you and your colleagues in the best possible meeting mood.

Take enough breaks
When you are in consultation with each other, you are constantly weighing up interests. In the beginning, this goes well, but after a while you notice that you can no longer think completely clearly: you are out of your flow. Therefore, take sufficient and timely breaks to recharge. For example, schedule a drink. You normally do this at the end of the day, but a (non-alcoholic) drink at 2:00 in the afternoon can also be very effective. By sparring informally with each other, you give new impetus to the meeting.
Even better: use the break for a bit of exercise. Take a walk, go for a bike ride or do a short yoga or meditation exercise. Exercise not only keeps the body in shape, but also the brain. When you exercise, your brain develops new connections and maintains the old ones. Who knows, it might just give you that push you need to deal with that difficult agenda item.
Standing or moving meetings
We take it for granted to have sitting meetings. Yet that is strange; when you sit, you adopt a passive posture. Your brain then finds it difficult to be active. Standing meetings are therefore better for your brain, better for your health and it works much more efficiently. For example, research has shown that it can save as much as 34% in time compared to sitting meetings: people simply get their point across faster.
